Job Description:

Job Purpose: Provide timely and effective administrative support to the specific contract. Assist in the delivery of scheduled or ad hoc work functions and provide a range of support duties to ensure that all deliverables are met on time and with a high level of accuracy.

What you'll do:

  • Scrutinise support documentation for correct coding and cost allocations for data capturing. Input data onto the computer system in the prescribed fields.
  • Ensure high input accuracy to maintain data integrity.
  • Draw regular and customised data reports from the system using Microsoft Excel and Power BI.
  • Attend training courses or self-taught modules to stay updated on system applications.
  • Assist in training other system users.
  • Attend to queries from internal and external clients within the laid-down timelines, ensuring high customer satisfaction.
  • Process and settle all supplier and subcontract invoices on time.
  • Assist with general office duties such as stock control, refreshment orders, relief functions for switchboard or reception, preparing ad hoc reports, maintaining filing and archiving systems, scanning critical documentation, and checking/distributing bulk invoices.
  • Compile spreadsheets for non-standard reporting.
  • Contribute to the effective functioning of the Mobilisation team by participating in team objectives, sharing knowledge, and developing personal skills.
  • Ensure work processes and procedures are effective and efficient, aligned with corporate standards.
  • Maintain focus on delivering excellent customer service.

Who you'll be:

  • Proven ability to support administrative principles, implement systems, and resolve problems proactively.
  • High proficiency in Microsoft Office applications, email, internet, and databases.
  • Ability to interrogate data sets and display data in various report formats.
  • Excellent interpersonal and communication skills, with the ability to liaise articulately in both written and spoken English.
  • Ability to work as part of a team to achieve positive outcomes and provide quality service.
  • Strong organizational and time management skills, capable of managing competing priorities and meeting deadlines with accuracy.
  • Basic knowledge of financial and accounting principles.
  • Must hold a valid UK Driving License.
  • Must be a UK National capable of achieving high-level security clearance.
