About Iso

Isomorphic Labs (IsoLabs) was launched in 2021 to advance human health by building on and beyond the Nobel-winning AlphaFold system. Your impact

Getting things done and making things work smoothly are needed for a fast-paced pioneering venture and the Workplace Coordinator, London plays a critical role in achieving this.

This is a high impact role and you’ll need to use your natural tenacity and initiative in order to be successful. You will be responsible for all aspects of the workplace experience in London, with guidance from your manager, and wider Workplace Operations team. Your duties will vary from things like overseeing maintenance & repairs, working closely with our key suppliers & vendors to setting up desks, managing meeting rooms & event spaces and providing effective general workplace support.

You’ll be responsible for the smooth running of office related activities, partnering with on-site vendors & other stakeholders, so it is essential you are organised, self-motivated and able to prioritise work proactively. You’ll build strong relationships across the organisation through your positive and agile approach.

What you will do

Office Operations & Systems Management

  • Daily Coordination: Take ownership of the day-to-day coordination, hospitality, and smooth running of the London office.
  • Systems Ownership: Manage day-to-day workplace operations systems, including monitoring and resolving the internal facilities ticket queue and maintaining the workplace information site/intranet.
  • Point of Contact: Act as the primary point of contact for team members, vendors, and on-site service providers, ensuring all queries are resolved in a timely and professional manner.
  • Facilities & Maintenance: Oversee reactive repairs and preventative maintenance programmes to ensure the office is consistently functioning and maintained to a premium standard.
  • Space Optimisation: Continually optimise the physical workplace, including layout improvements, desk allocation/setups, meeting room management, and general environmental enhancements.

Guest Experience & Event Logistics

  • Guest Flow Management: Oversee the end-to-end external guest experience, managing visitor flow into the building to ensure a seamless, welcoming, and secure arrival.
  • Event Space Logistics: Take ownership of the logistics, setup, and coordination for our key on-site event space, ensuring it is tech-ready and properly configured for various uses.
  • Culture & Engagement: Co-ordinate in-office events, team activities, and wellness initiatives to enhance the overall employee experience and workplace culture.

Compliance, Onboarding & Global Alignment

  • Cross-Functional Collaboration: Work collaboratively with the Global Workplace Lead, the wider Global Workplace team, and the Central Operations Team to ensure local alignment with global policies and regional regulations.
  • Onboarding & Safety: Play an active part in the workplace onboarding process for new hires, ensuring they thoroughly understand office layouts, general processes, security protocols, and Health & Safety requirements.
  • Visits & Travel Support: Provide high-touch operational support and a welcoming experience for internal employees visiting the London hub from other global locations.
  • Ad-hoc Projects: Contribute to and support ad-hoc workplace and operational projects as required.
  • Responsibility for the day-to-day coordination and smooth running of the London Office.
  • Act as the primary point of contact for team members, vendors and on-site service providers helping to resolve queries in a timely manner.
  • Oversee maintenance programmes and repairs to ensure the office is consistently maintained to a high standard.
  • Work collaboratively with your Manager , the Workplace team and the wider Central Operations Team to ensure consistency with Global Workplace policies and local regulations.
  • Optimise the workplace including layout improvements, setting up new desks, managing meeting rooms and improving the office environment.
  • Onboard new employees to the workplace in this location so that they understand all general processes, security and health & safety requirements.
  • Provide effective support to employees visiting from other locations whilst they are in London.
  • Contribute to ad hoc projects as required.
  • Co-ordinate in-office events, team activities and wellness initiatives to enhance our overall employee experience.

Skills and qualifications

Essential:

  • Operating in a similar role in a startup or fast growth environment dealing with high levels of change and ambiguity
  • Strong decision making skills and ability to prioritise based on organisational needs
  • Process management including ability to analyse and suggest improvements
  • Strong communication and relationship building skills
  • Understanding of Health and Safety & ergonomic requirements

Hybrid working

It’s hugely important for us to share knowledge and build strong relationships with each other, and we find it easier to do this if we spend time together in person. This is why we follow a hybrid model, andwould require you to be able to come into the office 3 days a week (currently Tuesday, Wednesday, and one other day depending on which team you’re in).
