Overview

We’re looking for an organised and proactive HR Administrator to join our People Team on a 12-month fixed-term contract. This role is covering a secondment within the team and offers a great opportunity to gain broad exposure across HR operations in a collaborative and fast-paced environment.

Working closely with our Senior HR Administrator, you’ll play a key role in supporting a wide range of People Team activities, with a particular focus on delivering a smooth and positive onboarding and offboarding experience for our employees.

This is a full-time position, and we’re ideally looking for someone who can start in the near future. The role is based on-site for at least three days per week.

The role

Our People Team is made up of 19 individuals, with your role sitting within our HR Operations team of 3.

Reporting to the Senior HR Administrator, you’ll take ownership of administrative processes related to new starters, particularly for early careers hires, temporary employees, and contractors. You’ll play an important role in ensuring these processes run efficiently and provide a positive experience for those joining the business.

You’ll also support the wider People Team with a variety of administrative tasks, including producing reports, maintaining compliance across HR processes, contributing to employee engagement activities, and assisting with ad hoc projects and initiatives as needed.

Responsibilities

Your role will be varied, and training will be provided where necessary, but you can expect to be involved in or responsible for the following:

Employee Life Cycle Administration

  • Manage onboarding and offboarding processes for Interns, Tech Scholars, Apprentices and Contractors, including background checks and reference requests.

  • Draft and issue HR documentation including employment contracts and letters for employment changes for Tech Scholars, Interns, and Apprenticeships.

  • Coordinate renewal process for Contractors and Temporary workers, including updating spreadsheets, tracking, and informing relevant stakeholders.

  • Manage, monitor and process Apprenticeship new starter and extension paperwork.

  • Administer Leaver processes including scheduling and recording exit interviews.

HR Administration & Compliance

  • Maintain accurate and up-to-date employee records in the HR system.

  • Conduct Right to Work Checks and log/update visa details for new starters to ensure compliance with employment legislation.

  • Complete security clearance processes for new and existing employees.

  • Coordinate pre-employment Occupational Health checks.

  • Maintain HR electronic filing (e.g. Fit Notes) and monitor the HR inbox for queries.

  • Respond to day-to-day HR queries from employees and managers.

  • Save sick certificates to HR records

  • Assist with maternity, paternity and other family leave processes.

Employee Engagement & Recognition

  • Administer Long Service Award process.

  • Create purchase orders and raise e-reqs.

  • Coordinate the ordering of employee gifts.

Reporting & Data Management

  • Produce reports on an ad hoc basis.
  • Apprenticeship and Contractor tracking.

Ad Hoc Projects & Initiatives

  • Assist with HR-related projects such as Work Experience Workshops and process improvement initiatives.

  • Proven experience in HR administration or a similar operational HR role.
  • Excellent attention to detail and accuracy
  • Strong sense of confidentiality, discretion and professionalism.
  • Strong organisational and time management skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficient in HR systems and Microsoft Office applications.
  • Strong communication skills and ability to build positive relationships across the business.
  • Proactive, resilient and highly adaptable.
