Job Description As the Executive Assistant to our Chief Executive Officer, you will play an integral role as you leverage your high degree of confidence, integrity, and professionalism. You will bring initiative and resourcefulness while balancing vital responsibilities. Your primary mission will be to provide best-in-class executive support, ensuring smooth and seamless business processes. Note: This role requires you to be in the office three days a week. Responsibilities • Diary Management Work autonomously managing a busy, ever-changing diary, planning strategically, and prioritising where necessary. • Travel Arrangements Responsible for organising CEO travel and logistics including flights, visa requirements, hotel accommodation, car rentals, meeting schedules while travelling, and completing expenses on return. • Project Management Providing insightful thought-partnering to the CEO on activities related to the day-to-day operations of the organisation, running mini research and data-gathering projects when required. • Stakeholder Management Maintain healthy relationships with all key stakeholders, analysing business departmental relationships, and providing feedback to upper management on what is and isn’t working. • Office Management Ensuring the smooth running of our office in Moorgate. This includes on-boarding new starters, ordering supplies, office lease management/facilities maintenance, and any other ad-hoc duties as required. • Leadership Team Off-site Planning Organising leadership team off-sites, including agenda creation, logistical arrangements, and event coordination. • Insurance Claims Managing and processing insurance claims in a timely and efficient manner. Who we are looking for The essential abilities and qualities needed by the successful candidate for this post. • Qualifications and Experience o At least 5 years’ experience supporting at C-suite level o Bachelor’s degree or equivalent o Advanced Microsoft Office skills o Proficient with GSuite, Slack o Well-versed in C-suite terminology • Skills, Knowledge, and Abilities o Strong organisational, project management, and proactive problem-solving skills with impeccable multi-tasking abilities o Self-starter with the ability to work well independently and as part of a team o Strong interpersonal skills: thick-skinned, personable, and calm with a can-do attitude o Ability to adapt to ever-changing business requirements o Effectively prioritise conflicting needs, resolve issues expediently, and uphold a strict level of confidentiality o Detail-oriented with an eye for balancing efficiency with effectiveness o Strong adaptability and ability to work independently o Exercises good judgment in a variety of situations Compensation • Competitive base salary. • 25 days of annual leave plus an additional day for each year worked. • Flexible work from anywhere, hybrid and office-based work.
