We are looking to recruit a People Shared Services Administrator to join our People team on a part time (30 hours per week), 12-month fixed term contract to cover maternity leave.
This role will be based at our Whitley office on a hybrid basis (minimum 2 days in the office per week).
Main Purpose of Role:
As our People Shared Services Administrator you will support the People and Centre of Excellence (COE) teams by providing comprehensive people shared services for the wider business, ensuring the provision of an excellent HR service to managers, colleagues, and other internal stakeholders.
The Ideal candidate:
To be successful in this role you will be tech savvy, especially with MS Office and use of other systems (Ideally HR systems) and have a proactive and collaborative nature. A strong customer orientation, high attention to detail, and the ability to organise and prioritise multiple tasks effectively is vital to the success of this role. Administrative experience is required, any HR administration experience would be ideal.

Your day-to-day responsibilities will include:
- Carry out administration for new starters and leavers, including administering the learning management system (LMS) and HRIS), escalating any issues to line manager, ensuring a smooth onboarding or offboarding process,
- Provide general administrative support to the Talent Acquisition Team, including but not restricted to references, DBS and Right to Work checks,
- Process all employment contract related changes, ensuring all changes are made promptly and accurately on the HR System and produce the relevant documentation,
- Monitor and respond appropriately to emails to the shared services email inbox,
- Support the People Business Partners/ Advisor by taking notes in meetings,
- Support the People team with relevant projects as required,
- Provide general administrative support to the People Business Partners,
- Provide administration support for reward and benefits initiatives,
- Review and ensure the Employee benefits portal is accurate and up to date,
- Act as a first point of contact for benefit providers,
- Provide support to the Data Analyst where required for example checking the HRIS data,
- Act as ’super administrator’ for the HRIS,
- Co-ordinate and prioritise requests for changes to the HR system functionality.

- Comfortable working within a small team, with crossover of roles,

- Confidentiality and an understanding of GDPR,
- Knowledge of administration processes and practice (ideally within HR),
- Tech savvy, specifically MS Office Suite (any experience with HR systems would also be ideal),
- Excellent communication skills, written and verbal (English),
- Good numeracy skills.
