Access to car required as difficult to reach via public transport Location: UB9 - Watford Hours: Full Time, hybrid,3-4 days in-person, the rest remote. Role Type: This is a contract role under the umbrella of Bright Spark PAs for a monthly rolling contract. In undertaking this role you would be working for the client through Bright Spark PAs. This role may have the ability to move to permanent further down the line. Pay: £18ph PAYE or £21 Self Employed Role: An exciting opportunity has arisen for an efficient Executive Assistant who has a deep understanding and is experienced in managing a property portfolio to work closely with the Managing Director of a well established Family Office based in the UK. You will assist the Managing Director in all aspects of administrative work relating to business and personal affairs. This includes taking a lead in the successful management of a property portfolio in the UK. Working with the Managing Director, you will proactively deal with a variety of queries as they arise, liaising with them as to any queries you may have. Duties and Responsibilities To help the Managing Director to make the best use of their time by dealing with secretarial, administrative and other tasks. Act as a key point of contact between the Managing Director, Creative Director and Project Manager and clients/tenants. Liaise with an accountant for payable and receivable queries. Filter incoming e-mails, responding to correspondence and queries on the Managing Director’s behalf. Diary management – booking and confirming meetings and appointments. Making travel arrangements as required. Liaise with managing agents for routine tenant enquiries/maintenance reports. Liaising with contractors to undertake repairs and routine maintenance. Drawing up tenancy agreements/renewals and managing tenant deposits. Ensuring the portfolio is compliant by arranging inspections as per UK legislation. Arranging check-in and check-out inventories as and when required. Maintaining communication with tenants through the duration of the tenancy. Other property portfolio-related tasks as required. Skills and Experience At least 2 years’ experience in a similar role (ideally in property management). Excellent written and spoken English. Good knowledge of Microsoft Office – especially Word and Outlook. Knowledge of Xero would be a bonus but not necessary as training will be given. Understanding of office filing systems – electronic and paper-based. Proven ability to prioritise workload with multiple projects. Proactive/able to work under own initiative and without direct supervision. Strong team player. Natural problem solver. Strong work ethic with discretion being essential. Willingness to be flexible. University Degree advantageous but not essential.
