Purpose of the job:
The role requires a highly organised and excellent communicator acting as a key link between field-based staff, agents, and administrative colleagues. You will provide pro-active, professional and efficient support to the Estates Team to ensure department key objectives are met, including supporting the delivery of the divestment strategy and comprehensive estate management. This role requires you to work alongside other internal disciplines across the business sectors, from Operations to Finance and Legal and the Leased & Tenanted and Managed estate.
The position is office based, and you may also be required to attend off site team meetings.
Duties & Responsibilities:
To provide comprehensive administrative support to the Estates Team.
Management of the internal Estate System, maintaining records and key estates documents.
Development and maintenance of process guides and ensuring processes are followed within the team.
Administration associated with the Leasehold estate, supporting the Estate Surveyors to ensure efficient estate management practice.
Assisting with the management of Pubs Code compliance matters for disposal activity and internal auditing.
Management of annual communication updates to head landlords, non-licensed premises (NLP) and free-of-tie tenants.
Arranging execution of legal property transfer documents and on completing ensuring all sale documentation is filed correctly.
Minute taking at Team Meetings as required including off site visits.
Maintaining a log of Asset of Community Value (ACV) nominations and listings.
Coordinating and updating system(s) and tracker for Valuation Office Agency business rates information requests and general freehold enquiries.
Liaising with internal departments, solicitors and agents to maintain business continuity and achieve key objectives.
Provide support for disposal activity.
Manage requests for information from solicitors, agents and Head Landlords, and coordinate the provision of statutory certificates.
Arranging payments, raising purchase orders and CHAPS payment forms.
Reviewing, sorting, scanning and distribution of post – prioritising as appropriate.
Leasehold updates including Lease Renewals and Rent Reviews.
Arranging access for Head landlord inspections.
General queries relating to Leasehold sites.
Land registry searches to confirm ownership details.
Wayleaves – coordinating Telecoms new installations and access requests.
Arranging installation and removal of security with our external security partner as required.
All ad-hoc reporting and project work as required
Skills, Expertise & Qualifications:
Experience of Pub Industry and/or Estates or Property role
High level of computer literacy (Word/PowerPoint/Excel/Outlook Email System) proficient I.T skills particularly in Excel (confident using lookups)
Confident and professional manner with excellent customer service skills.
Strong understanding of systems management.
Meticulous attention to detail.
Proven ability to work collaboratively with internal and external stakeholders and prioritise tasks.
