Job Description

This post presents an exciting opportunity to become an Administration and Data Analyst, within our Personal Wellbeing services, in the Dorset area. Commissioned by HMPPS, these services are focused on supporting adult male ex-offenders across the following pathways:

  • Emotional Wellbeing
  • Lifestyle and Associates
  • Family and Significant Others
  • Social Inclusion

This role will involve working in close partnership with delivery partners, HMPPS, the Voluntary Sector, and other Criminal Justice organisations. You will support the delivery of contracts through administrative support, performance reporting, analytical research, and trend evaluation.

This is a community-based role, however you may be required to travel to access training and support other teams when necessary.

Main Duties and Accountabilities

  • Creating process maps and guidance documents, distributing letters, supporting estates bookings and invoicing queries, and logging processes on a database.
  • Providing continuous support to the wider team in daily administrative tasks.
  • Assisting with monitoring and maintaining booking systems, such as MS bookings and MS Outlook, documenting appropriate records and information to support contractual requirements, and responding to data requests from the Team Leaders and Senior Operations Manager.
  • Gathering and capturing data, creating reports in a timely manner against deadlines e.g., quarterly figure reporting, and assisting with analytical research and evaluation, for regular needs analysis, or bidding support for Catch22.
  • Collating promotional information for our stakeholders, and engaging with stakeholders appropriately, actively promoting equality and diversity, and taking account of the different needs of each service user, to support the ongoing service.
  • Maintaining responsibility for the monitoring of absenteeism and lateness, ensuring that compliance does not fall below agreed levels, and seeking support and guidance where unique circumstances occur.
  • Using relevant information and technology appropriately, with proper attention to data security, ensuring that all data and information is managed, stored, and destroyed in line with agreed data management policies, maintaining records in accordance with organisational, probation, and prison policies and procedures.


Qualifications

Essential:

  • Good basic education, including English and Maths at GCSE level, or equivalent.
  • Experience of using digital systems, such as Microsoft 365 (Excel, Word, and Outlook), and using such systems to present data and outcomes.
  • Experience of managing administration tasks to a high standard, with good prioritisation and organisational skills, experience of written analysis, and information sharing in line with data protection requirements.
  • Able to demonstrate a positive approach and commitment to both team and partnership working, with the ability to build and develop good working relationships at all levels.

Contract: Permanent

Hours & work pattern: Part time, 19 hours per week. 

Salary: £25,000 FTE; (£12,500 pro rata)
